Module · Administration

Set it once. Every campus, every rate, every policy uses it.

Administration is the control panel behind every other module. Multi-campus tax setup. Worship-team rate sheets that drive mobile time entry. Versioned PTO policies with employee-match preview. Holiday calendars with ministry defaults. Permissions that change what each employee class actually sees. Configured here. Read everywhere.

  • Multi-campus tax handling per location
  • Rate sheets priced by event, tier, and campus
  • Two-axis permissions: roles × employee-type menus
What's in here

Multiple subsections. One protagonist: the admin who keeps it all running.

Most HR systems hide configuration in a "settings" cul-de-sac. Administration in CarbonHRM is the part of the platform an HR director uses every day — not the part they touch once a year.

Campuses

Multi-campus setup with per-location tax IDs (FUTA, SUTA, FICA, MEDI, SIT), geofences drawn on a map for employees who use the CarbonHRM phone app to clock in and clock out.

Rate Sheets

Flat rates priced by department, category, rate group, and campus. The engine behind worship-team time entry. Effective dates built in.

Allowance Types

Supplemental earnings catalog — Book, Cell Phone, Continuing Ed, Gas, Meal, Pro Dev, Travel — each with a per-type tax-exempt flag.

Permissions & module applicability

Two axes: roles control which pages a user can reach. Employee type controls which modules show up at all. A 1099 contractor and a full time employee see different products.

Campuses

Each campus is its own payroll location.

A multi-campus ministry isn't one payroll org with multiple offices. It's several payroll locations under one roof — each with its own state and local taxes, its own physical boundaries for clock-in, its own staffing budget. CarbonHRM treats them that way.

Set up a campus once. Address geocodes to lat/long automatically. Unique tax IDs for federal unemployment, state unemployment, FICA, Medicare, state income tax, and any city-level taxes attach to the campus, not the org. Geofences are drawn on the map and used by the mobile clock-in flow. Security hourly rate and annual budget feed straight into the rate sheets and reporting.

Rate Sheets

You set Sunday AM Tier 1 at $300 once. Every worship leader who logs Sunday AM gets paid $300.

The rate sheet is the engine behind worship time entry. When a worship leader opens their phone on a Sunday afternoon, the events are already there — Sunday AM, Rehearsal, Night of Worship, Midweek, Conf Hall — each with the right rate and the right tier for their position. Nobody retypes a number.

Rates are scoped by department, category, rate group. A Tier 1 staff member in the Production department earns one number; a Tier 2 staff member earns another. Effective dates mean a mid-year raise doesn't rewrite history. Inactivate a rate when an event retires; don't delete it.

  • Worship event types: Sunday AM, Rehearsal, Night of Worship, Midweek, Sound Check, Memorials, Broadcast
  • Tier 0 / 1 / 2 + Aux for graduated pay across the same event
  • Department-scoped: Worship, Production, Facilities, Missions, Security all priced separately
  • Special-rate one-offs (Veteran's Day Celebration, Week of Prayer services) sit alongside recurring rates
Allowance types

The catalog of supplemental pay — tax-exempt aware.

Each allowance carries a per-type tax-exempt flag. The platform knows — every payroll run reads the flag without an admin opening a tax book.

Permissions & module applicability

Who sees what is two questions, not one.

Most HRIS platforms give admins one knob — a role. CarbonHRM uses two.

Roles control which pages a user can reach and what they can do on them: View, Edit, Download, See Dollars. Employee type controls which modules show up at all.

  • Any number of employee or contractor types
  • Permissions controlled by employee-type — make a module/page visible to Full Time Employees and hidden to contractors with one click
